We are excited to introduce the Office Spaces FAQs – your go-to resource for all matters related to our office spaces booking solution.
1. How can I check in to my previously booked desk?
If a future reservation has not been checked in at the date of the reservation, the user is sent a notification.
This notification helps to remind the user of their reservation and confirm whether they will be using the workplace or not.
To check-in at the reservation date, go to your booking and press the ‘Check in’ button:
A confirmation message will be displayed on your screen.
What about checking in to a desk that I booked on the same day?
- Reservations made on the same day are automatically checked in, thus eliminating the need for any additional actions on your part.
Additional Info About Check-In:
Checking in a reservation for a desk can only be done by the user who made the reservation.
Checking in a reservation for a room can be done by any user.
In case you experience any unusual activity ( missing check-in button, difficulty in checking in ) due to technical error, please make sure to make a screenshot or recording immediately and send it to the Office Spaces for effective investigation.
2. What is the "My Team" option?/ How can I see where my teammates are sitting?
The "My Team" feature is designed to facilitate seamless collaboration by enabling you to quickly locate where your colleagues are working and reserve a workspace in close proximity to them.
This functionality can be accessed from the office overview screen by selecting the "My Team" icon.
Additionally, the 'My Team' filter is available to assist in identifying and locating team members efficiently.

3. How can I share a workspace?/ How can I make sure to sit together with my teammates?
Sharing a desk can be particularly advantageous when collaborative efforts are required, yet all meeting rooms are occupied.
You have the capability to distribute a link to any individual workspace or multiple workspaces through the Share Workspace functionality.
This feature allows you to share a single desk or even multiple desks, facilitating seamless collaboration.

4. Is it possible for me to book workspaces on behalf of my teammates?
The current system does not permit users to make reservations on behalf of other users.
5. Can I schedule meetings for dates significantly in the future?
One of the golden rules of Office Spaces is the 3 week booking window.
Unfortunately, users are not provided with access to book meetings for dates that extend beyond the current three-week window.
6. How do I report technical problems (e.g., missing monitor, AC not working)?
Please turn to your local Facility Manager for assistance with technical problems.
